Executive Assistant - AIG Finance, IT & HR Job at Thermo Fisher Scientific, Waltham, MA
Executive Assistant position supporting three senior executives (VPs of Finance, IT, and Human Resources) in the Analytical Instrument Group at Thermo Fisher Scientific's Waltham, Massachusetts office. Responsibilities include calendar management, travel coordination, meeting planning, and administrative support for fast-paced leadership team.
Manage complex calendars and coordinate meetings for three group executives across multiple time zones
Arrange and coordinate international and domestic travel, including visa and logistics management
Plan and execute strategic meetings and events for senior leadership
Handle confidential and sensitive information with discretion and sound judgment
Support special projects and cross-functional initiatives while maintaining organizational priorities

High school diploma with 5+ years executive administrative experience, or Bachelor's degree with 2+ years supporting senior leadership
Expert proficiency in Microsoft Office Suite (Outlook, PowerPoint, Excel, Word, Teams)
Demonstrated ability to manage complex calendars across multiple time zones
Experience coordinating international travel, logistics, and visa requirements
Proficiency with expense management systems and virtual meeting platforms
Strong written and verbal communication with exceptional discretion and attention to detail
Ability to work independently, anticipate needs, and adapt to dynamic, shifting priorities

$35.00–$52.00 hourly, plus variable annual bonus eligible
